If recording is enabled for your account and meeting, use More actions → Record in the meeting controls, choose the available recording options and confirm. Stop the recording when finished, then find and check the processed file in the meeting chat or recap.
To record a Teams meeting, join the meeting, open More actions in the meeting controls, select Record and confirm the recording options. Teams notifies participants when recording starts. Stop it from the meeting controls when finished, then wait for the recording to process and look for it in the meeting chat or recap.
Recording controls and eligibility differ between work or school and personal accounts. Let participants know what will be recorded and obtain the agreement required for your situation. The steps below follow Microsoft’s work and school recording guide; check your organization’s policies and your current app if the controls differ.

Before the meeting: check recording access
| Account or role | What to check |
|---|---|
| Work or school organizer | Confirm recording is enabled by your organization and review the meeting’s recording and transcription options. |
| Work or school participant | Eligibility depends on organization policy, licensing and role. Microsoft says guests and people from another organization cannot start a meeting recording under the documented conditions. |
| Personal Teams account | Microsoft documents recording for eligible Microsoft 365 Personal, Family or Premium subscribers; its personal-account rules differ from work or school meetings. |
If you cannot record, ask the organizer or IT administrator to check permissions. Being able to join a meeting does not automatically grant recording or download access. Microsoft provides separate personal-account instructions.
Record a work or school meeting in Teams
- Join and prepare. Check your microphone and headphones, let participants know the intended recording and make sure you have the necessary permission.
- Open the recording control. In the meeting controls select More actions → Record. Microsoft says the recording setup can ask for the spoken language and what to record.
- Choose and confirm. Review the available options and select Confirm. Microsoft documents an Audio only option under Choose what to record when available. Everyone receives a notification when recording begins.
- Stop the recording. Use More actions → Recording and choose the option to stop recording. Microsoft distinguishes stopping transcription alone from stopping the recording; verify that the recording has actually stopped.
- Find and review the result. Wait for processing, then open the meeting chat, channel conversation or meeting recap. Play the beginning, a later exchange and the end to verify the actual file.
On Teams mobile, Microsoft documents More options → Start recording and More options → Stop recording. Names and available controls may vary by app version and account. See its current instructions if your screen differs.
Where is the recording saved?
For work or school meetings, Microsoft says recordings are stored in OneDrive for work or school or SharePoint, with access through the meeting chat, channel or recap. The meeting type and organization’s settings affect access. Guests and external attendees may need the recording explicitly shared with them.
View and download permissions can differ. Microsoft’s work-account guide says organizers and co-organizers generally control downloading or deletion, while permissions can vary with meeting type and settings. Ask the owner for access rather than assuming a recording link grants download rights. Check any expiration date with the owner, because organization settings determine retention.
For Teams personal accounts, Microsoft currently says the recording appears in chat and expires after 30 days; eligible users can download it to retain a copy. Confirm the current rules and your access before relying on that copy.
Can you record and transcribe a Teams meeting?
Teams offers live transcription for eligible meetings and accounts, but a recording and transcript are different outputs. Review the available recording and transcription controls, the spoken language and your organization’s policies. Microsoft’s transcript guide explains who can start, view and download a transcript.
Participants receive a transcription notification when it starts. Review names, terminology and numbers against the recording; automated transcripts can make mistakes. Stopping transcription alone may leave recording running, so check both statuses.
Prepare the audio for editing
- With the owner’s permission, download an available recording and keep an unchanged original. Confirm what you are allowed to share or upload before using any third-party service.
- Play a sample from every participant and check for quiet voices, echo or missing words. A recording may contain a mixed conversation rather than separate speaker tracks.
- If you have a supported short MP4 or MOV file, the video-to-audio converter can prepare an MP3 or WAV locally within its five-minute and 50 MiB limits, subject to browser codec support. It does not accept a Teams link or automatically separate speakers.
- For a longer recording, use an editor that supports the whole file. If the result is an episode or interview, the podcast editing guide covers cuts, level balance and final checks.
For a distinct competing sound mixed with speech, the separate voice isolator can test a voice on a supported file. It may leave noise or alter words; AI downloads require an account and credits. Review access and confidentiality before uploading.
Why can’t I record or find the meeting?
| Issue | Check |
|---|---|
| Record is missing or unavailable | Check account type, meeting role, license and the organizer’s or administrator’s recording policy. |
| Recording is not in chat yet | Allow processing time, check the meeting recap or channel and ask the organizer to confirm the recording was started and stopped. |
| You can view but cannot download | Ask the recording owner about download permission; do not assume the viewing link permits editing or redistribution. |
| Audio is missing or quiet | Check the original playback, meeting input and device levels. A silent or clipped source may require another recording. |
Common questions
Can a guest record a Teams meeting?
Microsoft’s work and school instructions say guests and people from another organization cannot start a meeting recording under the documented conditions. Ask the organizer; account and policy rules matter.
Does Teams tell participants the meeting is being recorded?
Microsoft says Teams notifies meeting participants when recording begins. Obtain any additional agreement required for your situation and intended use.
Can I record audio only?
Microsoft documents an Audio only choice in the work or school recording setup when available. Review the options and verify the saved result; availability can depend on your account and version.
Can I use the recording outside Teams?
Only if you have the necessary access and permission. Download an available copy from the owner’s permitted workflow and review privacy and organization requirements before editing or sharing it.
